Record the property, building, roof section, system, manufacturer, installer and warranty number. Keep the issued warranty and riders with installation records, roof plans and previous inspection reports. Identify the person responsible for notices and approvals. Mark missing information as unknown and request it from the owner, installer or manufacturer.
2. Set the schedule from the applicable documents
Check the warranty and owner manual for required inspection intervals, reporting dates and record-retention duties. Record the source document beside each scheduled task. Keep optional extension-program deadlines separate. If an interval is unclear, ask the manufacturer rather than applying a universal twice-yearly rule to every warranty.
3. Record conditions consistently
Qualified personnel should document roof surfaces, seams, flashings, penetrations, edges, drainage and previous repairs as applicable to the assembly. Use dated photos with building and location labels. Record observations separately from confirmed causes. Roof access requires appropriate authorization and safety procedures; property staff can begin with safe interior and ground-level observations.
4. Track drainage and rooftop activity
Record debris, drainage concerns, reported ponding and work by HVAC, solar or other trades. Keep an access log identifying the date, company, roof area and work performed. New penetrations, equipment or coatings may affect warranty requirements; check approval procedures before the work begins. Maintenance needs and potential warranty claims should remain distinct.
5. Keep a complete service log
For each entry record date, roof area, observation, photo reference, recommended action, responsible person, approval status and completion evidence. Retain manufacturer correspondence, work orders, materials and repair records. A log supports review but does not itself confirm compliance or coverage. Escalate unresolved concerns using the applicable warranty process.
6. Prepare for ownership and management changes
Check whether the warranty can be transferred and what notice, documentation, fees or inspection may apply. A change in property manager does not necessarily change ownership; record both accurately. Hand over the warranty, open claims, maintenance schedule and access information so a new team does not lose pending obligations.
The Service Group’s role
The Service Group is not currently a manufacturer-authorized roofing contractor. You may request an inspection or maintenance-planning conversation in Memphis, Nashville or Little Rock. Scope, qualifications and availability are reviewed before work is agreed. Manufacturer approval and an appropriately authorized contractor may be required for warranty repairs or alterations. These resources do not issue, extend or confirm warranty coverage.
