Ponding water on commercial roofs: a property manager's guide
Learn what to document when water remains on a low-slope commercial roof, which drainage conditions may need review, and how to prepare a useful service request.
Record the property, building, roof area, date, recent weather, and where water remains. Use safely obtained photos tied to a roof plan or recognizable rooftop feature when possible. Note whether the area has appeared before and whether an interior leak, ceiling stain, odor, or occupied-space concern was reported. Standing water is an observation; the cause and repair scope still require evaluation.
Track drainage time in context
Record when rainfall ended and when the area was observed again, along with weather conditions that may affect drying. NRCA uses drainage after rainfall as part of its positive-drainage guidance, but a single elapsed-time observation should not be treated as a universal pass-or-fail test. Roof design, deflection, drains, scuppers, weather, membrane requirements, warranty terms, and local code can affect the review.
Review the full drainage path
A roof-specific assessment may review the slope, drains, strainers, scuppers, gutters, downspouts, overflow provisions, low areas, debris, rooftop equipment discharge, and changes from earlier repairs or installations. GAF and Carlisle maintenance guidance emphasizes keeping drainage components clear and observing ponding areas. Do not cover, reduce, relocate, or modify drainage components based only on a website checklist.
Separate maintenance items from design or structural questions
Debris or a restricted drain may be a maintenance concern. Repeated ponding can also involve roof slope, deck deflection, settlement, insulation layout, equipment discharge, drainage capacity, or concealed conditions. Those possibilities may require coordination among roofing, plumbing, design, or structural professionals. An inspection should identify what was observed and what additional review is needed rather than assigning a cause in advance.
Connect ponding water to the installed roof system
The roof membrane or surface, seams, flashings, previous repairs, substrate, insulation, moisture, coating history, and manufacturer or warranty requirements can affect the appropriate next step. Do not assume that adding sealant or coating over a low area corrects the drainage condition. A coating evaluation should separately address drainage, active leaks, repairs, concealed moisture, preparation, adhesion, and compatibility.
Keep the property record useful after service
Retain dated photos, inspection findings, drain-cleaning records, approved scope, completed-work documentation, and later observations with the correct building and roof area. If water returns, compare the location and conditions instead of assuming it is identical to the earlier event. This creates a clearer maintenance history for future repair, coating, or capital-planning discussions.
Prepare a ponding-water service request
Provide the exact property address, building and roof area, roof system if known, observation dates, recent weather, drainage location, interior symptoms, prior repairs, available warranty records, safe access procedure, and authorized contact. Mention photos, roof plans, inspection reports, and maintenance records. The Service Group reviews coverage, scope, access, and availability before a visit or work is arranged.
Technical references
Always check the current manufacturer documents and the warranty terms for your specific roof.
No. Water that remains should be documented and evaluated in context, but one observation alone does not establish the cause, damage, responsibility, or required scope.
Does water remaining after 48 hours automatically require replacement?
No. The time observation can inform the review, but it does not by itself select a repair or replacement. The roof assembly, drainage, weather, moisture, structural conditions, manufacturer requirements, warranty, and code context matter.
Can property staff clear a roof drain?
Only personnel authorized for roof access and trained to follow the property's safety procedures should work on the roof. Drainage work should not damage the roof or alter primary or overflow components, and uncertainty should be referred to qualified personnel.
Can ponding water be fixed with roof coating?
A coating is not automatically a drainage correction. The cause of the low area, active leaks, moisture, repairs, slope, drainage components, substrate, preparation, adhesion, compatibility, and proposed system should be evaluated.
What should I send with a service request?
Send the property and roof-area location, dated observations, safe photos, recent weather, interior symptoms, roof and drainage records, prior repair information, access requirements, and the authorized contact.
